Information for those submitting an Abstract for:

International Conference “Prisons and Health Protection”
What Works in the Prevention and Control of Major Communicable Diseases in Prison
29- 31 October 2009 - Madrid, Spain

Abstracts are very welcome from anyone involved in the broad areas of prison health, health in criminal justice systems, research or service related to the control of communicable diseases or any of the themes of the conference listed below.

Instructions for Abstract Submissions

  • The deadline for submitting an abstract is 14 August 2009
  • Abstract submissions should be in one of the following categories:
    1. Prevention and control of infectious diseases in prison, such as HIV, hepatitis C, tuberculosis, sexually transmitted infections.
    2. Drug dependency treatments - abstinence and maintenance approaches
    3. Harm reduction methods
    4. The challenges of prison health monitoring and data collection
    5. Dual diagnosis issues and complex needs related to drug dependency and mental health
    6. Other key areas related to the prevention of infectious diseases in prisons, such as throughcare, planning for flu pandemic and training requirements
  • Abstracts should be maximum 400 words and should clearly indicate in which category the presentation falls, what the presentation would cover with focus on the author’s (or authors’) conclusions and learning opportunities from the work reported. It would assist the Scientific Committee’s assessment of the abstract if it had a short title clearly indicating the content of the abstract, why the work was undertaken, how it was done, the results and conclusions and why it is relevant to this conference. References should not be included and there should not be any graphs, tables or pictures. It should be clearly stated if it concerns an abstract for oral or poster presentation.
  • You may submit abstracts to the secretariat through the conference website (www.prisonhealthconference2009.com), using the form existing on the same page.
  • Official languages: English and Spanish
  • The author(s) contact details and affiliations together with an indication of any sponsorship of the work reported upon, must be included, indicating which author has agreed to be corresponding author and presenting author.
  • Submitted abstracts can be re-edited and modified until the submission deadline date. Therefore, the submitting author will be required to provide his/her e-mail address.
  • An abstract can only be submitted if the “Ethical Declaration” on the online abstract form is accepted by entering the submitting author's name.
  • Abstracts accepted for the conference are subject to the “Abstract Embargo Rules” and the “Transfer of Copyright”.
  • The reviewers will judge the abstracts according to the scientific value, potential clinical value, or social value, suitability of methods to aims, conclusions confirmed by objective results, objectivity of statements, description of methods used, ethics, originality of work, standard of English and overall impression.
  • Please ensure that your abstract does not contain spelling, grammatical or scientific errors, as it will be reproduced exactly as submitted. No proof reading will be done.
  • The submission of an abstract constitutes a formal commitment by the presenting author to present the abstract – if accepted – orally or as a poster in the session and the time assigned by the Scientific Programme Committee. We therefore recommend that submitters of abstracts register for the conference simultaneously with abstract submission.
  • Abstracts not adhering to these guidelines may have to be rejected. The final decision about acceptance of an abstract will be taken by the Scientific Committee.
  • If you need to withdraw your abstract, a written statement reflecting the reasons for this decision must be sent to the HIPP Secretariat not later than 1th October
Instructions for Abstract Presentations

  • When the abstract has been selected for presentation, a confirmation number will be sent to the corresponding author. The actual presentation should have all references, any acknowledgements and ethical clearance where necessary, included. Any commercial support received or involved should be clearly stated.
  • If an abstract is selected for oral presentation, the presenting author as specified at submission will be requested to present it in the assigned session. Details will be communicated to the submitter by mid-September. 
  • If an abstract is accepted as a poster presentation, the presenting author needs to be available for discussion during the corresponding poster viewing session. 
  • Posters will be set up close to the exhibition area. The posters need to be printed in landscape. The usable surface of the display panels measures 94 cm (width) x 180 cm (height); adhesive material will be provided. Please use letters large enough to be read from a distance of 1.5 meters.
